Using Noojee Fax

The Only Open Source Email to Fax Gateway for Asterisk.

Noojee Fax receives an email message and sends the message as a fax transmission, or it receives a fax transmission and routes it to an email address or file as required.  All you need is your existing email client such as Outlook, Outlook Express, Thunderbird or any other email client to receive faxes.

Noojee Fax allows you to send a fax directly from an application such as MS-Word and OpenOffice Writer by using the ‘Send document as Email’ function under the file menu.  This technique will also work for any other application which can send emails and for which the file type is supported.

Sending a Fax:

To send a fax, you simply compose an email as per normal with the exception of the ‘To’ address.  The ‘To’ address should contain the destination phone number.  The format of the ‘To’ address should be in the form of: <phone no>fax.local where <phone no> should be replaced with the destination phone number.

Note: the destination phone number must not contain spaces or any other non-numeric characters.  The number also doesn’t need a dial prefix digit (9 or 0 typically) to get an external line.

Example:

To send a fax to the phone number 555 1234, the ‘To’ address should be: 5551234@fax.local

Note: If your administrator has required you to configure a second SMTP server for sending faxes, then when you are ready to send the message you will need to select the Noojee Fax SMTP server. Most email clients will provide a simple method of changing the SMTP server by clicking on or near the ‘From’ address.  When setting up the second SMTP server for faxing, you must provide a valid ‘From’ address which should be your normal email address.  If you don’t specify a valid email address then you won’t receive error messages and the ‘Preview’ function won’t work.

Receiving Faxes:

When Noojee Fax receives a fax, it forwards it as an email attachment to a configured list of email addresses. Noojee Fax can also be configured to give each person in an organisation a personal fax number. When a fax is received on your personal fax number, it will be emailed directly to your inbox.    

Attachments:

Noojee Fax can also send a file attachment such as an MS-Word document as a fax. If you attach a supported file type to an email message, Noojee Fax will send the file using the body of your email as a cover sheet.  

Microsoft Word:

You can send a fax directly from within Microsoft Word.  Compose your Word document as per normal.  Click on the file menu and then the ‘Send’ option and then select the ‘Send as Attachment’ menu item.  Enter the phone number in the ‘To’ address and click the ‘Send’ button.

OpenOffice Writer:

You can send a fax directly from within OpenOffice Writer.  Simply compose your writer document as per normal.  When ready to send fax, click the File menu and then the ‘Send’ option, and finally the ‘Document as Email’ menu item.  When your email client opens, enter the phone number in the ‘To’ address as described, and click the ‘Send’ button. 

Previewing a Fax:

You can request that Noojee Fax send you a preview of a fax before the file is transmitted.

If you specify the word ‘preview’ in the ‘To’ address rather than a phone number, Noojee Fax will generate the fax ready for transmission; however instead of faxing the message, Noojee Fax will send you an email containing the rendered ‘Tiff’ file.  You can preview the ‘Tiff’ file to make sure the fax looks like you need it to before it is sent. 

You will need a ‘Tiff’ viewer unless your email client has one built in.

Example: ‘To’ - preview@fax.local

Multiple Recipients:

Noojee Fax can send a single fax transmission to multiple fax machines.  Simply add multiple fax numbers in the ‘To’ address field. Separate each number using the appropriate format for your email client.

Example: ‘To’ – 98761234@fax.local, 12346789@fax.local,

Delivery Receipts:

You will either automatically receive a delivery receipt upon the successful transmission of a fax, or you may request a Delivery Receipt.  If Noojee Fax is not configured for automatic delivery, then you need to use the ‘Return Receipt’ feature on your email client.  In the case of a problem or error in transmission, Noojee Fax will send an email regardless of whether you have the ‘Return Receipt’ option selected or not.

Note: on some email clients, ‘Delivery Receipt’ may be referred to as ‘Read Receipt’.

Fax over VoIP:

Fax over VoIP is very unlikely to work. We do not recommend attempting to use Noojee Fax with VoIP channels. A reliable Fax over IP (FoIP) protocol is under development. T38 will make it possible to fax reliably over IP but this protocol is not yet fully implemented. Noojee Fax will support T38 faxing when it is available.
